Export contacts and companies and create optional Leads in Pipedrive

Enginy contacts are exported as Persons and companies as Organizations. You can optionally create additional Leads.

Enginy contacts are exported as Persons and companies as Organizations. During the export, Enginy looks for an existing record first. If it finds a match, it updates it according to the Field Mapping configuration; if it does not, it creates a new one.

Note: Test the configuration with a few records before exporting a full list. That way you can review matching, fields and the Owner without affecting much data.

Before exporting

Check that:

  • Pipedrive shows as connected under Integrations.

  • You have reviewed the identifiers in Sync Configuration.

  • The fields you need are configured in Field Mapping.

  • The user who connected Pipedrive can create and edit Persons and Organizations.

  • The required values in your Pipedrive account have a mapping or a fixed value.

Exporting contacts

  1. Open a contact list in Enginy.

  2. Select the contacts you want to send.

  3. Click Export.

  4. Choose Export to CRM.

  5. Review the Owner and the manual fields.

  6. Turn on Export associated company if you also want to send the related company.

  7. Open Overwrite existing values if you need to replace a value that already exists in Pipedrive.

  8. Click Export.

Reviewing the export options

The export window gathers the decisions that only affect that operation.

Owner

You can select a Pipedrive user as the owner of the exported records.

If you do not choose one, Enginy can use the user associated through User Mapping or the workspace Default CRM owner. The assignment also depends on the user who connected Pipedrive having permission to assign that Owner.

Turn on Overwrite existing value if you want to change the Owner of records that already existed.

Manual Export Fields

These fields ask for a value on every manual export. They are useful when the value changes per operation, for example a region, a source or an internal classification.

Overwrite existing values

This section lets you overwrite specific fields during the current export.

  • If you turn on Overwrite existing value, Enginy can replace the Pipedrive value.

  • If you leave it off, Enginy keeps values that already have content and only fills in empty fields.

The selection made here can extend the behavior saved in Field Mapping for this export.

Review Mapping

Click Review Mapping if you want to check the fields again before sending the records. If you spot an incorrect field, fix it in the configuration and save your changes before continuing.

Exporting companies

The process is the same from a company list:

  1. Select the companies.

  2. Click Export and choose Export to CRM.

  3. Review Owner, manual fields and overwrite.

  4. Decide whether to include their associated contacts when the option is available.

  5. Click Export.

An Organization can be created or updated. The result depends on the Company Identifier and the fields available for matching.

Associating a Person with an Organization

Pipedrive stores a single primary Organization in the Person's org_id field.

If you export a contact with its associated company, Enginy can write that org_id. When the Person already belongs to another Organization, the new association can replace the previous one.

Important: Review the current Organization before exporting with associations. Pipedrive does not keep several primary companies for the same Person.

Creating optional Leads in Pipedrive

In Sync Configuration you will find two options:

  • Create Leads from Contacts

  • Create Leads from Companies

They are off by default. When you turn them on, Enginy can create an additional Lead when it creates a new Person, a new Organization or both.

The Lead is linked to the available Person and Organization and receives a title built from the contact and company names when they exist.

Keep these differences in mind:

  • The Lead does not replace the Person or the Organization.

  • Pipedrive has no Leads tab in Field Mapping inside Enginy.

  • The custom fields configured for Persons or Organizations do not become a Lead mapping.

  • Updating an existing Person or Organization does not by itself create a new Lead in every case.

If you need a Lead for every record that already exists, review the result with a small sample first.

Limits per export

For a direct selection, Enginy supports up to 10,000 contacts and 5,000 companies.

Split larger volumes into several operations. Besides making the process easier to review, this reduces the impact of Pipedrive's API limits.

Checking the result

When an export finishes, open the Export Report. The report separates records that were created, updated, duplicated, in conflict, or failed.

If a record fails:

  1. Open its detail.

  2. Read the message returned by Pipedrive.

  3. Check required fields, permissions and option values.

  4. Fix the mapping or the record.

  5. Repeat the export only for the affected records.

A successful export does not delete previous information in Enginy or in Pipedrive. Updates apply only to the records and fields included in the operation.
