Import contacts and companies from Pipedrive

Import Persons and Organizations from Pipedrive without preparing a CSV file, using a search or a saved filter.

You can import Persons and Organizations from Pipedrive without preparing a CSV file:

  • A Person is imported as an Enginy contact.

  • An Organization is imported as a company.

  • Pipedrive Leads and Deals are not part of these flows.

The integration must be connected and the Integration user must be able to see the records you want to import.

Where to start the import

When you create or add to a contact list, open Create list. You will find two options:

  • Import contacts from Pipedrive.

  • Import contacts from Pipedrive List.

The equivalent options appear in the Companies flow.

Note: The current screenshots show the interface in English. Button and field names are kept exactly as they appear in the product.

Choosing between Search and Pipedrive List

Use Search when you have a simple term, such as a name, an email, a phone number or an address.

Use Pipedrive List when you need several conditions. Although the button says List, Enginy actually uses a saved Pipedrive filter.

For example, a filter can gather:

  • Persons from one Organization and with a specific Owner.

  • Organizations from a given country and industry.

  • Records meeting several custom conditions.

Importing Contacts through search

  1. Click Import contacts from Pipedrive.

  2. Type the value in Search term.

  3. Select one or more fields in Search in.

  4. Turn on Exact match if you need an exact match.

  5. Click Preview.

  6. Review the sample.

  7. Decide whether to keep Update existing contacts on.

  8. Click Import from Pipedrive.

Fields available for Contacts

You can search in Name, Email, Phone, Notes and Custom fields.

Pipedrive only allows searching in certain custom field types. If one returns no results, try Name, Email or Phone, or create a saved filter.

How Search term works

The search applies a single term to all the selected categories. If you choose Name, Email and Phone, Pipedrive looks for that same text in any of them. They are not three conditions that must all be met.

For predictable results:

  • Type at least two characters in a normal search.

  • You can use a single character if you turn on Exact match.

  • A normal search finds the start of words, not any fragment inside the text.

  • Exact match compares the full value of the selected field, ignoring case.

If you need to combine different rules, use a saved filter.

What Preview shows

Preview shows a sample of up to 25 records from the first page. It is not the total import limit.

When you confirm, Enginy keeps reading the pages matching the search and processes the import in the background.

Importing Companies through search

The process is equivalent:

  1. Select Import companies from Pipedrive.

  2. Enter the Search term.

  3. Choose the fields in Search in.

  4. Turn on Exact match if you need it.

  5. Click Preview.

  6. Review Update existing companies.

  7. Confirm with Import from Pipedrive.

For Organizations you can search in Name, Address, Notes and Custom fields. The company search also uses a single term across any of the selected categories.

Importing a saved filter

Create the filter in Pipedrive first. For Contacts it must be a Persons filter; for Companies, an Organizations filter.

Then, in Enginy:

  1. Click Import contacts from Pipedrive List, or the equivalent option for Companies.

  2. Open CRM list.

  3. Select the saved filter.

  4. Review Match with existing contacts, or the equivalent option for Companies.

  5. Click Import.

The saved filter flow shows the filter name, but it does not offer a Preview or a count of all the results beforehand. Review the filter in Pipedrive before starting the import.

Update existing and Match with existing

These options help connect the Pipedrive record with a contact or company that already exists in Enginy.

When they are on, Enginy tries to find an existing record, update it, and keep the Pipedrive identifier for later operations.

If you turn them off, do not rely on that check to avoid duplicates. Run a test first and review the resulting list.

What data reaches Enginy

Enginy imports the data available for the record type and the compatible mappings. The result can include:

  • The identity and contact details of a Person.

  • The associated Organization, when it exists and is visible.

  • The name, Owner, address and location of an Organization.

  • Compatible custom fields.

  • The Pipedrive identifier that lets Enginy recognize the record later.

The specific values depend on the record's content, the integration configuration and the Integration user's permissions.

Visibility and permissions

Enginy can only import the records, fields and filters visible to the user who authorized Pipedrive.

If a record or filter does not appear:

  • Check that the Integration user can open it.

  • Verify that the filter belongs to Persons or Organizations according to the flow.

  • Check that the filter is visible to that user.

  • Confirm that the authorization is still active.

  • Check that the Pipedrive company is open.

Large imports

Enginy processes the import page by page and respects the Pipedrive API limits. A large volume can take longer.

Do not close or disconnect Pipedrive while the operation is running. When it finishes, review the list created and check how many records were added, updated or rejected.

If Preview returns no results

  1. Type at least two characters or turn on Exact match.

  2. Review the categories selected in Search in.

  3. Search by the start of a word.

  4. Turn off Exact match if Pipedrive contains additional text.

  5. Check that the Integration user can see the record.

  6. If you use a custom field, confirm that its type supports searching.

  7. For several conditions, create a saved filter and use Pipedrive List.
