Import Contacts, Leads, and Accounts from Salesforce

Enginy lets you import records from Salesforce through Salesforce Search, a Salesforce List View, or a Salesforce Report.

Enginy lets you import records from Salesforce through three sources:
Salesforce Search, Salesforce List View and Salesforce Report.

Contacts and Leads are imported as Enginy contacts. Accounts are imported as companies.

Which object is used for contacts

The Default object when exporting option also determines which object Enginy queries when importing contacts:

  • If it is set to Contact, Search, List Views and Reports work with Salesforce Contacts.

  • If it is set to Lead, they work with Salesforce Leads.

  • When importing companies, Enginy always queries Salesforce Accounts.

If you need to change the object, open Salesforce Setup, go to Sync Configuration and change Default object when exporting.

Before importing

Review these points:

  • The connected user can read the object and the fields included in Field Mapping.

  • To import Contacts, reading fields from the related Account may also be necessary.

  • You have configured the identifier Enginy will use to find existing contacts or companies.

  • You have decided which Enginy list the results will go into.

Importing with Salesforce Search

Salesforce Search lets you build a query without preparing a List View or a Report.

  1. Open the import flow for Contacts or Companies.

  2. Select Salesforce Search.

  3. Add the filters you need.

  4. Review Preview.

  5. Leave Match with existing contacts or Match with existing companies on if you want to reuse records already in Enginy.

  6. Click Import.

  7. Choose an existing list or create a new one.

You can add up to five filters. They are all combined with AND, so a record must satisfy all of them.

The available operators depend on the Salesforce field type. A text field and a boolean field, for example, do not offer the same conditions.

Preview shows a sample of up to ten records and the number of results found. Review it before starting the import.

Importing from a Salesforce List View

This option uses the List Views visible to the user who connected Salesforce.

  1. Open the import flow.

  2. Select Salesforce List View.

  3. Choose a view in the selector.

  4. Decide whether to keep Match with existing contacts or Match with existing companies on.

  5. Click Import.

  6. Choose the destination list in Enginy.

For contacts, the selector shows views of the object configured as Contact or Lead. For companies, it shows Account views.

Important: The number shown next to a List View is indicative and may not represent all of its records. After importing, check the result in the Enginy list. For large sets, use several smaller views.

List Views with no detected records may not appear in the selector.

Importing from a Salesforce Report

Enginy shows the Reports visible to the connected user and checks that the Report is compatible before enabling Import.

  1. Select Import contacts from Salesforce Report or Import companies from Salesforce Report.

  2. Choose a Report under Salesforce Report.

  3. Wait while Enginy shows Validating report....

  4. Check that the Report is valid and that it returns records.

  5. Decide whether to keep matching with existing records on.

  6. Click Import.

  7. Choose the destination list.

The Report must return the same object Enginy expects: Contact if the default object is Contact, Lead if the default object is Lead, or Account if you are importing Companies.

If validation says it is not valid, review the Report type, its filters and the connected user's access.

How Match with existing works

When Match with existing contacts or Match with existing companies is on, Enginy tries to find an existing record before creating a new one.

For Contacts and Leads, the email can act as a match in addition to the selected identifier. Depending on the configuration, Enginy can also use LinkedIn, or name and company.

For Accounts, Enginy uses Domain, Domain or company name, or the Custom Mapping rules.

In Custom Mapping:

  • Every field in a group must match.

  • Different groups work as alternatives.

  • If the record is missing one of a group's values, that group is not used.

Review this configuration before a large import. An identifier that is too broad can merge records that should stay separate.

What data is imported

Enginy uses Field Mapping to transform the Salesforce fields.

  • A Salesforce Contact can contribute data from the Contact and from the related Account.

  • A Salesforce Lead uses its Company field as text and has no standard relationship with an Account.

  • A Salesforce Account is imported as a Company.

  • Importing Accounts does not automatically import all of their associated Contacts.

Fields the connected user cannot read will not be available and can cause an error if they are still included in the mapping.

If the import does not return what you expected

Check:

  • The value of Default object when exporting.

  • That the List View or Report belongs to the right object.

  • That the connected user can see the view, the Report and its records.

  • That the Search filters are combined the way you expect.

  • That the configured fields still exist in Salesforce.

  • That matching has not merged the record with a contact or company that already existed in Enginy.
