Enginy can create new records in Salesforce or update existing ones. Before exporting, it checks whether a match already exists according to the identifiers configured in Salesforce Setup.
For people, you can export as a Contact or as a Lead. Enginy companies are exported as Account.
Before you start
Check the following:
Salesforce shows as connected under
Integrations.You have reviewed
Field Mappingfor Contacts, Leads and Companies. The connected user can read, create and edit the objects and fields you are going to use.
Required fields have a value. As a reference, Contact needs
LastName, Account needsName, and Lead needsLastNameandCompany. If your organization has Validation Rules, Record Types or required custom fields, you have included those values in the mapping, in
Fixed value fieldsor inManual export fields.
How to start an export
Open a list or table of contacts or companies in Enginy.
Select the records you want to export.
Open the actions menu and click
Export to CRM.
Export to CRM menu
The Export to CRM modal opens.
Export to CRM modal
Choosing between Contact and Lead
When you export people to Salesforce, the selector at the top lets you choose:
Contact: creates or updates a Salesforce Contact.Lead: creates or updates a Salesforce Lead.
The modal starts with the object configured in Default object when exporting, but you can change it for that export.
If you choose Lead, Enginy uses the Company field as text. It does not create an association between the Lead and an Account.
If you choose Contact, you can also export the associated company. The company is created or updated as an Account, and the Contact is linked through AccountId.
Important: If the Contact already belongs to another Account in Salesforce, setting a new AccountId can replace that relationship.
Choosing the Owner
The Owner section is optional. The owner shown as selected may come from User Mapping.
If you choose a different owner, that value is used for new records. To replace the owner of a record that already exists in Salesforce, turn on Overwrite existing value.
If you do not choose an owner, Enginy can use the mapping of the user running the export and then Default CRM owner. If neither is configured, it does not send an OwnerId.
Filling in fields requested during the export
Fields configured as Manual export fields appear in the modal. You can fill them in before clicking Export.
Each field can include Overwrite existing value. Turn it on only if you want to replace the value already in Salesforce.
Fixed value fields do not appear in this modal. Enginy applies their values automatically on every export.
Exporting associated records
When exporting Contacts, you can turn on exporting their associated Companies. Enginy will export them as Accounts.
When exporting Companies, you can include the associated Contacts. Enginy will create or update the Contacts and set the relationship with the exported Account.
These options are not available when exporting as a Lead.
Deciding which values can be overwritten
The Overwrite existing values section lets you change the behavior for that export.
In the mapping you will see two directions:
Enginy overwrites Salesforce: the Enginy value replaces the existing Salesforce value.Sync with Salesforce: on an existing record, Enginy keeps the non-empty Salesforce values and only fills in empty fields.
Sync with Salesforce does not import Salesforce changes automatically. To bring data from Salesforce into Enginy you need to run an import.
You can also turn on Overwrite existing value for specific fields inside the modal without changing the general configuration.
Reviewing the mapping before exporting
Click Review Mapping if you need to check Contacts, Leads or Companies before continuing. When you return to the modal, check any manual fields and click Export.
Enginy applies the configured matching before creating a record:
Contact and Lead can match by email, LinkedIn or name and company, depending on the selected identifier.
Account can match by Domain, Domain or company name, or through Custom Mapping.
In Custom Mapping, the fields within one group are evaluated together. Different groups work as alternatives.
Checking the result
The export runs in the background. When it finishes, open the corresponding activity and review the Export Report.
The report lets you:
See which records were created or updated.
Open a record directly in Salesforce.
Expand the detail of records that could not be exported.
Read the technical message when Salesforce returns additional information.
Limits per export
In a single operation you can export:
Up to 10,000 people, whether you export them as Contacts or as Leads.
Up to 5,000 Companies, which become Salesforce Accounts.
If you go over the limit, split the selection into several exports.
