Import Contacts, Leads, and Accounts from Microsoft Dynamics

Enginy can import records using filters created in Enginy or from system views and personal views saved in Dynamics.

Enginy can import records using filters created in Enginy or from system views and personal views saved in Dynamics.

Note: Each import is a one-off run. The Enginy list is not connected to the Dynamics view and does not update automatically when that view changes.

Before importing, review Integrations > Microsoft Dynamics > Configure > Sync configuration.

Requirements

The connected user needs Read on:

  • Account.

  • Contact or Lead, depending on the configuration.

  • Saved Query to use system views.

  • User Query to use personal views.

Enginy can only show and import records that this user can read in the connected environment.

Option 1: import with filters

Contacts or Leads

  1. Open the Contacts table in Enginy.

  2. Click Import.

  3. Select Import contacts from Dynamics.

  4. Choose Search.

  5. In Import from Dynamics Search, add the property, operator, and value.

  6. Use + Add filter if you need more criteria.

  7. Click Fetch preview.

  8. Review Match with existing contacts.

  9. Click Import or Add to list, depending on where you started.

Accounts

  1. Open the Companies table.

  2. Click Import.

  3. Select Import companies from Dynamics.

  4. Choose Search and add the filters.

  5. Click Fetch preview.

  6. Review Match with existing companies.

  7. Click Import or Add to list.

Filters in the same search are combined with AND. Operators depend on the field type: text, number, date, Boolean, Choice, State, Status, Owner, or Lookup.

The preview shows a sample and the count returned by Dynamics. The final total may change after matching during the import.

Option 2: import from a Dynamics view

Enginy retrieves system views, stored as Saved Queries, and personal views of the connected user, stored as User Queries.

Only views for the corresponding entity appear: Contacts or Leads for people, and Accounts for Companies.

Contacts or Leads from a view

  1. Open Contacts and click Import.

  2. Select Import contacts from Dynamics List.

  3. Under CRM list, choose the view.

  4. Review Match with existing contacts.

  5. Click Import.

  6. Choose an Enginy list or create a new one.

  7. Confirm the import.

Accounts from a view

  1. Open Companies and click Import.

  2. Select Import companies from Dynamics List.

  3. Choose the view under CRM list.

  4. Review Match with existing companies.

  5. Click Import.

  6. Choose the destination list and confirm.

Dynamics does not provide Enginy with the number of members in these views before starting. That is why Import may appear without a total. Enginy then goes through all result pages.

Importing Accounts from a view does not automatically import their associated Contacts.

What data is imported

Enginy retrieves the available native fields and CRM custom fields configured in Field mapping.

For Contacts or Leads, this can include First name, Last name, Professional email, Mobile phone, Job title, Country, the Dynamics ID, and owner.

For Accounts, it can include Name, Website, Street address, City, Description, Country, the ID, and owner.

For Lookups, Enginy tries to use the visible value returned by Dynamics. If it does not receive that formatted value, the ID of the related record may be available.

What Match with existing contacts does

This option is enabled by default. Enginy tries to find an existing Contact using:

  • Dynamics Contact ID or Lead ID.

  • Professional email.

  • LinkedIn Profile URL.

  • First name, last name, and company, by name or by Dynamics Account ID.

If it finds one, it links it with Dynamics, adds it to the list, and completes native fields that were empty. Native values already populated in Enginy are normally kept.

If you disable the option, new Contacts are created in Enginy and you may generate duplicates.

What Match with existing companies does

This is also enabled by default. Enginy searches for Companies using:

  • Dynamics Account ID.

  • Name.

  • Domain.

  • LinkedIn company URL.

  • Website.

When it finds a match, it links the Company with the Account, adds it to the list, and completes available empty fields.

If you disable the option, a new Company is created for every imported Account.

Import people with their Account

When importing people, Enginy reads their Parent Account:

  • For Contacts, it uses Parent Customer Account.

  • For Leads, it uses Parent Account.

  • If a Lead has no Parent Account but has companyname, Enginy can create a Company with that name.

The imported person is associated with the corresponding Company in Enginy.

After starting the import

The import continues in the background and processes all pages returned by Dynamics. The final report distinguishes created, updated, existing, and failed records.

If you repeat an import after modifying filters or a view, keep matching enabled to reduce duplicates.
