Import contacts and companies from HubSpot

You can import Contacts and Companies from HubSpot without the initial connection bringing in the entire portal.

You can import Contacts and Companies from HubSpot without the initial connection bringing in the entire portal.

Before importing

Check the following:

  • HubSpot appears as connected in Integrations.

  • Field Mapping contains the data you need.

  • Contact and Company identifiers are configured.

  • The HubSpot list or filters return the expected records.

  • Your account still grants crm.lists.read and crm.export.

Choose the source

Import from a list

Select a saved HubSpot list when you have already defined the record set there.

Enginy reads the list and uses HubSpot's Exports API to retrieve its results. That is why the connection needs crm.export, even though the operation moves data from HubSpot into Enginy.

Import from a search

Use the available filters when you want to define the set from Enginy without relying on a saved list. Review the result before starting a large import.

You can import Contacts or Companies. The integration does not import records from the Lead object or custom object records.

What Enginy does with each record

  1. Reads the properties included in Field Mapping.

  2. Looks for a match in Enginy.

  3. Creates or updates the record depending on the result.

  4. Keeps the HubSpot ID for future operations.

  5. Applies the available association rules.

When you import a Contact, Enginy keeps the available primary association with the Company. It does not necessarily replicate every association that Contact has in HubSpot.

Import and synchronization are not the same

Import is a one-off operation. Once the record is linked, automatic synchronization can keep certain fields updated according to their direction.

An Enginy overwrites CRM field is not used as a source during import. CRM overwrites Enginy, BI-SYNC, and IF_EMPTY mappings can participate depending on the state of the data.

List import limits

HubSpot limits its Exports API to one simultaneous export and 30 exports within a rolling 24-hour window. Several list imports can consume that limit.

If HubSpot rejects a new import because an export is already in progress, wait for the previous one to finish. Check the current limits in the Exports API documentation.

What an import does not change

  • It does not delete Contacts or Companies from HubSpot.

  • It does not automatically start an export back to HubSpot.

  • It does not turn every field into BI-SYNC.

  • It does not automatically merge ambiguous duplicates.

If records are missing

First review the list or filters in HubSpot. Then check permissions, mappings, Exports API limits, and possible duplicates. Save the list name, import time, and affected IDs to make diagnosis easier.
